My automated email system generates more than 1,500 potential leads every day by sending around one million emails each month. This system operates on its own without any manual intervention. Next, let's discuss the leads, which are the email contacts you will be targeting.

The next step in your email marketing process involves cleaning your email list, obtaining leads from a database or scraping tools, and using filters to target relevant recipients. You also need to consider the content of your email, including your offer, avoiding spam words, and utilizing AI. It's important to plan out the sequence of your emails, determine the appropriate number to send before stopping, and monitor open and reply rates. Additionally, you'll need a sending tool to warm up and scale your email campaigns, utilizing AI and managing all emails in one place.

Your cold outreach strategy can be compared to a pyramid, with the foundation being the most crucial aspect. If you make a mistake at the base, your strategy will likely fail. The foundation of your outreach machine includes the setup of your cold email mailboxes. It is important to remember to never send cold emails from your primary domain, as this can lead to your emails being marked as spam and your domain being blacklisted. Instead, it is recommended to use secondary domains that are similar to your main domain to minimize risk.

In this video, I will be sharing some valuable tips based on my experience in building machines. One trick I will be sharing is using Mail Forge to quickly find available secondary domains similar to your own domain for purchase. The tools mentioned in this video will be listed in the description, with most having affiliate links. However, I personally use and recommend all of these tools. Mail Forge is a tool for purchasing domains and setting up mailboxes using private servers. It is mainly used to find available domains. By using the autogenerate feature, you can easily find 10 options similar to your domain, such as leadjenj.com.

Instead of just using AI to suggest similar secondary domains, this tool also checks if they are available for purchase. It's important to choose the right domain registrar when buying your domains, as the RDNS record associated with your domain will follow it based on where it is purchased. It may seem like a good idea to save money by buying from places like Cloudflare or Namecheap, but it is recommended to use GoDaddy to avoid any issues. Create a GoDaddy account and search for the domain you want to purchase. If it is available, go ahead and proceed with the purchasing process.

Setting up cold email mailboxes with GoDaddy is very simple and recommended for beginners. Instead of protecting my domain, I will be signing up for the $2 per month Microsoft 365 email Essentials plan, which is a discounted rate negotiated with Microsoft Office. This plan includes one mailbox for 12 months at a cost of $24. It is a great deal that saves money. After purchasing this plan, you can set up your new email address with your Founder's name. For additional mailboxes, you can use variations of your name or last name. It is suggested to use your brand name for recognition when setting up these email addresses.

You might be under the impression that this process is easy, but now comes the challenging part where many people struggle. Each domain has a series of DNS records that are used to verify ownership and route emails. It is crucial to have a Demar record, a dkm record, and SPF records for your domain to avoid your emails being marked as spam. If you follow these steps correctly, your emails will be delivered successfully. To learn more about setting up a domain using GoDaddy, you can watch a video tutorial and follow the steps outlined. By purchasing a domain from GoDaddy and setting up a Microsoft 365 mailbox, you can ensure that your emails are sent from trusted email servers. This method is recommended for beginners, as it is a reliable way to set up your domain and email services.

By using Microsoft Office for your email, you have a better chance of reaching recipients' mailboxes because you are sending emails from the same servers. It costs $2 per month for the first year, which is much cheaper than setting up a mailbox with Microsoft or Google elsewhere, which would cost $6 per month. This not only saves you money but also makes your life easier. Mail Forge may be cheaper and faster to set up mailboxes, but it is not recommended for beginners who may make mistakes that could jeopardize their email operation. Mail Forge uses new servers with little trust or authority, so any errors could result in all mailboxes being blacklisted. It is important to configure DNS records in GoDaddy to ensure smooth email operation.

I am going to access my domain settings to set up forwarding for a recently purchased domain to redirect to my main domain. After saving this change, any emails sent from the purchased domain will be automatically forwarded to my primary domain. Checking the DNS records, I noticed that some records were added by Microsoft Office, including an SPF record, but there are no dkim or dmark records. To add these records, I will use a free tool called easydmark.com, which provides generators for both dkim and dmark records. First, I will generate a dkim record by entering the domain name into the generator.

This process involves some technical steps. You need to create a new record by copying a long string and pasting it as the value for a TXT record. Then, copy the part before the domain for a shorter string, set the TTL to half an hour, and save the record. Next, create a DeMark record by setting up the policy type, email for reports, subdomain policy, alignment, and failure reporting. Generate the record and add it as another TXT record with the shortened value before the domain.

After setting up your DNS records, you can log into your email address by going back to the "manage my products" section on GoDaddy. From there, you can access your Microsoft Office email and manage it easily. You have the option to forward responses to a specific destination or use the uni box feature for instant access. Make sure to enable SMTP authentication in the advanced settings to ensure secure access. The great thing about this setup is that you can manage all your email accounts right from GoDaddy without having to log in separately. You can set up multiple mailboxes in the same way. Congratulations on setting up the foundation for your email system! It's not as difficult as you may have thought.

Once you have your product or service ready, the next step is to find a list of potential customers to contact. There are various methods to do this, but I will share with you the most cost-effective and best practice approach. When looking for leads, I mean finding the email addresses of specific individuals who would be interested in your offer and have a problem that your product can solve. Sending mass, untargeted emails will likely result in your emails being marked as spam and your outreach efforts failing.

There are two main ways to find these leads. The first option is to manually scrape for email addresses yourself, which is usually the most affordable but also the most time-consuming method. You can search for email scraper tools on platforms like AppSumo and purchase a lifetime subscription to one of these tools. The second option is to purchase a list of leads from someone in a similar industry who may be interested in your offer. This can be a highly effective method if you buy from a reputable source.

When looking for leads, it is not recommended to purchase lists from the internet, as they may be cheap but not targeted. These lists may contain outdated and invalid email addresses. Instead, consider subscribing to a lead database like apollo.io, which allows you to filter leads by job title, industry, location, company size, and interests. While more expensive databases may have more accurate and current data, there are alternatives like trusted leads that offer similar data at a lower price. Apollo.io is a reputable database with millions of emails that are regularly updated.

If you're looking for databases that offer unlimited exports at an affordable price, consider checking out Warleads.com. For just $99 per month, you can export as many leads as you need. It's crucial to clean your email list before using it in a campaign, as this involves sending test emails to check for bounces. Too many bounces can result in your domains and mailboxes being placed on block lists quickly. While there are various email cleaning tools available, Million Verifier is a cost-effective option that I have personally used and recommend. If cost is not a concern, you can skip this step and clean your list within your sending platform, though this may come at a higher cost than using Million Verifier.

One tip for successful cold emails is to target decision makers at smaller companies with less than 100 employees, as cold emails may not be effective when targeting CEOs of Fortune 500 companies. When cleaning your email list, you will typically have a portion of good emails, a risky portion, and a bad portion. It is acceptable to use risky emails, but it is recommended to monitor them closely in a separate campaign. Many experts advise only using good emails, but this may result in losing valuable lead data. Building a successful cold email outreach strategy can be challenging, especially when reaching out to larger companies.

When reaching out to people who are unfamiliar with you, it is important to establish credibility before offering them something they may not currently need. It is common for offers to be uninteresting, overly complex, or highly competitive, making them unappealing in a cold email. Writing effective cold email copy requires a different approach than other types of advertising copy. By following a few simple rules, you can create compelling email content to increase the chances of your email being opened. The key to a successful cold email is to grab the recipient's attention with an engaging subject line and opening line, as this is what they see before deciding to open the email. This preview text should pique their curiosity and entice them to click on the email.

When writing emails, it's best to keep the subject line short and related to the offer, followed by a reinforcing first sentence. Asking questions in the subject line can spark curiosity and increase the likelihood of a response. The goal is to capture the recipient's attention quickly and prompt them to take action, so keep the email concise and impactful. Avoid including links, images, or videos to prevent being flagged as spam. It's important to run your email content through a Spam detector like mailmedia.com to avoid using blacklisted words that could trigger spam filters. For example, avoid using terms like "ASAP" to ensure your emails reach the recipient's inbox successfully.

It is important to avoid certain phrases and symbols in cold emails, as they may be flagged as spam. To ensure your emails are successful, run them through a spam detector. Make sure to comply with laws by including a mailing address and an unsubscribe link. Failure to do so could result in hefty fines. Keep your call to action simple and aim for a positive response. When it comes to actually delivering the cold email to your leads, it is essential to be strategic in your approach.

Before we start cleaning up the pre-verified accounts, let's set up the email account that was created with Microsoft Office. We enabled SMTP in GoDaddy, so now let's sign in to the account. Once signed in, you can easily access your email through Outlook. Next, we need to configure the mailbox correctly, including turning on email warmup and setting the daily sending volume to around 35 emails. It's important to use a custom tracking domain, which involves creating a DNS record. Let's copy the value from the tracking domain and add it to GoDaddy.

We will need to access the DNS records to add a CNAME record with a specific value. This will create a custom tracking domain which can be personalized. After adding the CNAME record, we need to set the new custom tracking domain as the primary domain and verify it. This process may take some time as it involves verifying and adding an SSL certificate. Once the custom tracking domain is verified and the SSL certificate is added, we can proceed to setting up the warm-up speed for emails. It is recommended to start with sending two emails per day until reaching a warm-up of 50. Ensure that advanced settings are enabled, including email emulation and the warm custom tracking domain, with all settings set to 100. Once everything is set up correctly, we can proceed to building our campaign by clicking on "add new" under campaigns.

This section is called "test" and it is where you can enter your email content and upload your list of leads. You can upload the leads from a CSV file, Excel file, Google sheet, or use the lead finder tool. In the sequences section, you can set up your email content, subject lines, and body. You can also add variants for AB testing and multiple steps in your emails. Make sure to leave two to three days between each email. In the options section, you can stack all your emails in a single campaign and they will rotate automatically until they reach their limits. It is recommended not to mess with too many of these options as they are already set up correctly.

I recommend not making changes to certain settings unless you are an expert in the field. I want to highlight a few features that I find valuable. For example, in a campaign, there is a function that allows you to add AI prompts to your leads, including prompts created by others. You can test a prompt on your lead list to see AI-generated personalization for all leads. Additionally, you can use subsequences to automatically send information to leads based on their replies, such as adding them to a drip sequence when they mention specific keywords. This saves time and avoids repetitive responses in cold email campaigns.

With their lead finder tool, they offer a convenient feature where users can easily add leads to a campaign on autopilot. By setting filters and selecting a target campaign, users can add leads and enable an Evergreen feature. By paying for the Instantly Lead Finder, users can have new leads added automatically when the current ones run out. The platform also displays data instantly, showing results like reply rates and open rates. Users can also track split test performance and easily manage them. This is a great tool for those looking to build a large cold email machine.
